2. Data We Collect

Website Visitors: When you visit arvoai.ca, we may collect:

• Browser type, operating system, and device information
• IP address and approximate geographic location
• Pages visited and time spent on the site
• Referral source

Business Contacts: When you contact us, sign up, or respond to outreach, we may collect:

• Name and professional email address
• Job title and company name
• Phone number (if provided)
• LinkedIn profile URL

Aurora Platform Users: When you use Aurora, we process:

• Your name, email address, and organizational role (for authentication)
• Investigation queries and results
• Infrastructure telemetry data queried on-demand from your cloud providers
• Cloud provider credentials and API keys (stored in HashiCorp Vault, not our database)

3. How We Use Your Data

• To provide and improve our services
• To communicate with you about our products
• To process and respond to your inquiries
• To analyze website usage and improve user experience
• To comply with legal obligations

4. Legal Basis for Processing

We process personal data on the following legal bases under GDPR:

• Contract (Article 6(1)(b)): Processing necessary to deliver the Aurora service as agreed in our service agreement.
• Legitimate Interests (Article 6(1)(f)): Sales outreach to relevant business professionals, website analytics, and product improvement.
• Consent (Article 6(1)(a)): Where you have given explicit consent, such as subscribing to communications or accepting cookies.

5. Data Storage and Security

Aurora is a self-hosted platform deployed on your organization's own infrastructure. All data remains under your control. Credentials are stored in HashiCorp Vault with encryption, separate from the application database. No telemetry or analytics are collected by Arvo AI from your Aurora deployment.

For website data and CRM data, we use industry-standard security measures including encryption in transit (TLS), access controls, and SOC 2-certified third-party platforms.

6. Data Sharing

We do not sell your personal data. We may share data with:

• Service providers: CRM (Attio), analytics (PostHog), hosting (Vercel) — see our Sub-Processors list
• LLM providers: When you use Aurora with external AI providers (OpenAI, Anthropic, OpenRouter), investigation queries are sent to those providers
• Legal requirements: When required by law or to protect our rights

7. International Data Transfers

Arvo AI is based in Canada, which benefits from an EU adequacy decision under PIPEDA. Where data is transferred to the United States (via service providers), transfers are protected by Standard Contractual Clauses (SCCs). See our Data Processing Agreement for details.

8. Data Retention

• Website analytics: Retained for 12 months
• Business contacts: Retained for the duration of active engagement, archived after 12 months of inactivity
• Aurora platform data: Controlled by your organization on your self-hosted deployment
• Employee/contractor data: Duration of engagement plus 7 years for tax compliance

Data is deleted upon request at any time.

9. Your Rights

Under GDPR, you have the right to:

• Access your personal data
• Rectify inaccurate data
• Erase your data ("right to be forgotten")
• Restrict processing
• Object to processing
• Data portability
• Withdraw consent at any time
